Why was allfiled started?
allfiled was started after the founder's sister-in-law suffered a brain haemorrhage at the age of 44 and he ended up looking after the administration for several families. He quickly realised that we all have the same type of admin chaos in our lives.
He searched on the web to buy a system to help save time, get organised and hopefully save money at the same time.
Frustrated by the lack of a helpful solution, he decided to create one himself.
Isn’t it dangerous to keep all my administration in one place?
allfiled is not a place to transact with your suppliers, it is for storing the information you need to manage them, like telephone and account numbers, start dates and reminders. Any purchases are made on the supplier’s web sites so you will not have to store full credit card numbers, bank account details, passwords or other sensitive data.
allfiled believe that most people carry sensitive information in a wallet or handbag. If this got lost, allfiled would allow you access to emergency contact details to deal with the situation quickly.
Storing any personal or household information in one place is only dangerous if that place is not adequately protected and secure from potential threat.
These days ‘Bin Raiding’, the practice of stealing documents from your rubbish, represents over 90% of all fraud. Storing all your administration in a secure web environment and shredding all paperwork as it arrives will significantly decrease the chance of fraud identity occurring.
From the outset of the project, allfiled designed an environment using some of the strongest online security protection techniques.
Additionally allfiled automatically logs you out after 10 minutes if no key strokes have been recognised.
Finally, entry to your files is by way of your username or email address, password, the answer to one of your secret questions and 3 random digits from your pin.
How allfiled keeps you safe
Security is our priority. We aim to provide you with a service you will find invaluable while providing peace of mind that your information is absolutely secure.
allfiled uses a collection of industry standard security techniques to keep your information safe. Data is encrypted not only during transmission but also within the database itself. The platform itself is hosted with a class leading Internet Service Provider. Advanced intruder detection systems and multiple firewalls are in place to ensure any potential attacks are quickly detected and dealt with. The platform is continually updated with the latest security patches throughout the year, as soon as they are made available to us from the various software and hardware vendors.
The allfiled team also commission two separate security penetration testing companies to scan the platform throughout the year to ensure that security loop holes never creep into the platform or application. The source code for the application is also reviewed by an external security company to ensure that there are no possible security problems within the code itself.
The encrypted data is never placed on CDs or other removable storage media which eliminates one of the main reasons of data loss. Also access to the actual data store is limited to only those administrators that absolutely require access for systems management tasks.
allfiled has been built by Can Factory, the company behind the Comic Relief, ITV, Which?, Sport Relief and Live 8 websites which have seen hundreds of millions of pounds pass safely to charity.
While computer viruses, phishing e-mails that impersonate official bank messages, lost data discs and hackers dominate headlines, more than 90% of identity fraud starts off conventionally, with bank statements and utility bills taken from dustbins, stolen credit cards or careless password management.

Access to allfiled requires 3 random digits from a 6 digit PIN, an email address registered with allfiled, a password and the correct answer from one of 4 pre-set security questions. This provides bank level security for all your data.

Offline
- Always be aware of where important documents such as your passport and driving licence are kept.
- Immediately report it to the relevant authorities if any post from your bank or credit card company goes missing.
- Check bank and credit card statements as soon as they arrive. If any unfamiliar transactions are listed, contact your bank immediately.
- Question bills, invoices and receipts for goods or services you haven't ordered.
- Keep personal documents in a safe place, preferably a locked drawer or cabinet and protect yourself by properly destroying unneeded confidential material in a shredder. Consider storing valuable financial documents such as share certificates with your bank.

- If you move home, get your mail redirected and then order a copy of your credit file from a credit reference agency two to three months later.

- Never write down your passwords or PIN numbers.
Online
- Use an antivirus program to find, destroy and protect your computer from viruses. Don't forget to keep your antivirus program updated. There are many good free antivirus programs you can choose from, for example AVG Antivirus.
- Use a firewall. An antivirus program on its own won't keep your computer safe. Again there are a number of free firewalls available to download (e.g. Online Armor Personal Firewall).
- Keep your computer up to date. If you have a PC with Microsoft Windows ensure it is regularly updated. You can do this by clicking "Tools" and then "Microsoft Update" from Internet Explorer or click here. You can even set it up so it updates automatically.
- Protect your computer from spyware. Increasingly antivirus programs and firewalls cannot provide 100% protection. Download an antispyware program, like Spybot Search and Destroy that can check for problems and immunise your computer against them.
- Don't provide your personal details, such as your full name, date of birth and email address to websites or emails you are unsure of or any social networking sites where anyone can access the information.
- If you are making a purchase on a website you do not know, check for reviews or complaints against the site. In addition when inputting your credit card details for payment, make sure the website is secure. This can be done by checking the address bar. If it begins HTTPS you are on a secure website, if it reads just HTTP you are not.
- Ignore emails asking for personal details or passwords even if they look real (known as phishing emails). Banks, email providers and allfiled never ask for passwords or personal details by email. If you are unsure about the origin of an email delete it without replying to it, clicking on any links and, in particular, without opening any attachments.
- Do not respond to, click links or open attachments within emails that claim you have won a prize in a competition you do no recall entering. These scam emails often ask victims for money to be sent to a bank account before a prize can be claimed.
- Protect your wireless network. Each wireless router is different so check your manufacturer's documentation to set up your encryption.

The subscription price for allfiled is normally £35 per year, however, every new user gets a completely free 12 month trial, no payment details required. We know the best way to experience the real benefit of using allfiled is to try the system without obligation.
Apart from signing up here, there are other ways you may come across allfiled. Some users will be offered our service by a major supplier, their employer, a charity or a membership organisation wanting to provide their customers, staff or members with a real benefit.
What sort of files can the system store?
We're sure we have most of the standard policies and home administration covered. We have a panel of users constantly reviewing and suggesting files and features we should introduce to make allfiled even more useful. We'll let users know about new files and features when they log in.

Adding new files is incredibly simple, with multiple files set up at the same time and assigned to a user at an address with one click. You decide how much to store in each file. allfiled lets you know the information that is needed to automate a comparison quote 30 days before renewal date.
Nothing ever needs to be done at once, and the input can be spread over a period of weeks, months or years, depending on the time you have available.
Is it worth investing the time to fill in the files?

Who sees my information?
Only you can see your information. If you request an automatic comparison quote we send your details anonymously which means suppliers cannot contact you by post, email or by telephone. When you have reviewed the prices, you decide if you want a supplier to contact you.
Can I cancel allfiled?
You can cancel allfiled at any time. Your files will be deleted from the system and no further communication will be made to you by allfiled.
I own several properties, how can allfiled help me?
You can add as many properties, or people and vehicles, as you like. allfiled is the perfect way to manage all the administration associated with owning several properties.
You can keep track of your insurance policies, smoke detectors, current tenants and much more, quickly and easily.
Perhaps the most useful function you will find is the home insurance automatic quote which tells you if you can save money on insurance for each property. You won’t need to keep providing the same details again and again to insurers, all the information will be in your files.
Can I add information to a file that doesn’t have a specific field for it?
Yes. Every file has an ‘Add a note’ function so you can add any additional information you want to.
Good practice is not to store pin numbers, passwords or other sensitive details anywhere on the web.
How complicated is it to use allfiled?
Not at all, allfiled is very easy to pick up and use. As it is web based, if you use the internet you can use allfiled.
Special functions such as ‘Quicksets’ and the ‘Get Started Wizard’ mean you can easily set up you most important files in just 5 minutes.
What happens if I get stuck or confused?
allfiled has been designed with easy of use in mind and has extensive help associated with every field you may have trouble with.

What are emergency numbers and how can I set them up?
A list of all your files in which you can store emergency numbers can be found in the Services sections of allfiled. This page gives you quick access to the numbers you'll most need in an emergency, like when your purse or wallet is lost.
You will need to add the numbers by selecting the file you would like to add an emergency number to, either by searching for it or choosing it from the Emergency Numbers page, and then inputting it in the emergency number field.
It might take a few minutes to add all the numbers, but think of the time, worry and effort you'll save in an emergency by having everything you need in allfiled, accessible and organised.
Will allfiled try to sell me anything?
allfiled is entirely free of banner advertising and will not try to sell you anything.
You can choose to be sent car and home insurance quotes when your current policy is up for renewal. This is done anonymously so you will never be contacted directly by an insurer until you decide to take out a policy with that insurer.
How do I print a file?
To print the details of a file you can either use the print function on your web browser (in Internet Explorer and Mozilla Firefox click ‘File’ then ‘Print’, or you can use a shortcut by pressing and holding the control button on your keyboard and pressing P).
Alternatively you can simply select the area of the file you want to print by holding down the left mouse button, then right click and click copy. You can then paste this into any word processing software by clicking the right mouse button in a blank document and clicking paste.
The format of the file may change to varying degrees, depending on the word processor package you are using.
How does allfiled help when my family moves home?
allfiled can automatically create change of address letters with the appropriate instructions for suppliers. This service ensures no supplier is unaware of your change of address details and it also protects your family from possible fraud identity issues.
How often will you contact users?
allfiled only contacts you when you have set a reminder for one of your files, if you have requested an automatic quote for an existing policy or if your subscription needs to be renewed.
allfiled is about reducing administration so we do not email or contact you if it is unnecessary. We also do not allow unsolicited sales or marketing communications from 3rd parties, insurers or product providers.
Why do allfiled sponsors support local charities?
Sponsors select local projects important to residents in the community they serve. Their sponsorship of allfiled will help raise local awareness of their brand and the financial support they provide to projects. Sponsors hope new business will be generated for them through increased positive public relations exposure.
What sorts of projects are supported by allfiled and their sponsors?
Every type of project is supported: from a local primary school and drop-in shelter for the elderly; to a donkey sanctuary, the Samaritans and the Air Ambulance Service. The logic is that each organisation will spread the word of allfiled to their membership and supporters who in return give it to their friends to help them support their particular chosen good cause.
How much money do projects receive from the sponsors?
Only allfiled, directly and transparently, gives any insurance revenue it receives to the community.
allfiled earns between 7.5% and 10% of a car or household insurance policy taken out by an allfiled user through the system, which is equivalent to online comparison sites. allfiled sponsors earn 35% of this royalty payment and typically donate between 60 -100% of the royalties to their chosen projects.
For a £400 yearly car or household insurance premium the sponsored project should receive approximately £7. Therefore if a thousand people in a town, supporting your project, use the system for just one policy your project would generate £7,000 in donations.
Does my subscription fee subsidise support to local charities?
Absolutely not. Your subscription is to provide you with the allfiled system and all the service and functional benefits it offers. When you choose to use allfiled to purchase an insurance policy from a broker, we or many of our business sponsors pay a significant proportion of the commission earned to a project of your choice.
All of the online comparison sites take a commission in order to earn their revenue for providing the service, only allfiled has been set up to support important national and community good causes.
If you have a special project offer code you’ll be asked to confirm the project you want your sponsor to support. If you haven’t got a special project offer code, don’t worry. When you purchase a policy or service you’ll be given another opportunity to pick a good cause for the sponsor to support on your behalf. You can change who you want to support at any time by clicking ‘Your account’ once you have logged in.
Why should I give allfiled to my friends?
allfiled is useful to everyone and there is no limit to how many people can register for the free trial. If you want your friends and colleagues to experience the service please refer allfiled to them. You will be asked for your other login details such as your email, address, PIN and your security questions just fill in these details and a new, temporary password will be sent to your registered email.
I can’t remember my PIN, how can I access my allfiled account?
If you forget your PIN you will need to call allfiled’s UK based call centre on 0845 9000880 so that we can verify that you are the account holder. Once you have answered the security questions correctly we can reset your login details and send a temporary password to your registered email address.
My account has been locked, what happened?
Your allfiled account can be locked if there have been 3 failed attempts at logging in. If this has happened to you please call 0845 9000880 so that we can verify that you are the account holder. Once you have answered the security questions correctly we will reset your login details and send a temporary password to your registered email.
I signed up to allfiled but cannot access my account, what should I do?
When you first sign up to allfiled you are sent an "activation code" to your email address. You will need this code to access your allfiled account for the first time. Please check your email and your email junk mail folder (in case it has mistakenly been deemed spam), find the code and click here. Enter your email address, password and activation code and you can start to use allfiled.
