Why was allfiled started?
allfiled was started after the founder's sister-in-law suffered a brain haemorrhage at the age of 44 and he ended up looking after the administration for several families. He quickly realised that we all have the same type of admin chaos in our lives.
He searched on the web to buy a system to help save time, get organised and hopefully save money at the same time.
Frustrated by the lack of a helpful solution, he decided to create one himself.
How allfiled keeps you safe
Security is our priority. We aim to provide you with a service you will find invaluable while providing peace of mind that your information is absolutely secure.
allfiled uses a collection of industry standard security techniques to keep your information safe. Data is encrypted not only during transmission but also within the database itself. The platform itself is hosted with a class leading Internet Service Provider. Advanced intruder detection systems and multiple firewalls are in place to ensure any potential attacks are quickly detected and dealt with. The platform is continually updated with the latest security patches throughout the year, as soon as they are made available to us from the various software and hardware vendors.
The allfiled team also commission two separate security penetration testing companies to scan the platform throughout the year to ensure that security loop holes never creep into the platform or application. The source code for the application is also reviewed by an external security company to ensure that there are no possible security problems within the code itself.
The encrypted data is never placed on CDs or other removable storage media which eliminates one of the main reasons of data loss. Also access to the actual data store is limited to only those administrators that absolutely require access for systems management tasks.
allfiled has been built by Can Factory, the company behind the Comic Relief, ITV, Which?, Sport Relief and Live 8 websites which have seen hundreds of millions of pounds pass safely to charity.
While computer viruses, phishing e-mails that impersonate official bank messages, lost data discs and hackers dominate headlines, more than 90% of identity fraud starts off conventionally, with bank statements and utility bills taken from dustbins, stolen credit cards or careless password management.
"An insignificant portion of identity fraud actually starts with the Internet," says James Van Dyke, president of analyst group Javelin Strategy & Research. "The Internet always grabs the headlines, but it is poor management of documents and individuals close to the victim, such as family and friends, that commit most identity theft".
How allfiled improves your security, privacy and keeps your data safe
1. Bank Level Security
Access to allfiled requires 3 random digits from a 6 digit PIN, an email address registered with allfiled and a password providing high-level security for all your data.
2. Sophisticated Intruder Detection Systems
All data is held in an encrypted Oracle Database environment within a highly sophisticated data centre. allfiled also uses 'Intrusion Detection Software' (IDS) which constantly monitors for suspicious traffic and immediately locks out unauthorised or malicious attempts to enter the site.
3. High Grade Encryption
allfiled uses high grade 256 bit SSL to encrypt data in transit between your web browser and our system, this prevents people 'sniffing' any information you type into allfiled. The data in your files is also encrypted adding yet another layer of security.
4. Tested by Security Experts
allfiled maintains state of the art security practices and is regularly tested for vulnerabilities by leading Internet security companies such as NGS Security as well as being certified by VeriSign.
5. Automatic Log Out
You are automatically logged out of your account after 30 minutes if no key strokes have been recognised. Additionally you need to re-enter your log in details to change your passwords or to delete all your files. This keeps risks at a minimum in case you ever leave allfiled on, for example while away from your desk
6. Data Protection
The company conforms to the highest standards required by the UK Data Protection Act. allfiled never shares your details with anyone without your permission and never sells them to 3rd parties.
7. Shred Unnecessary Documents
By storing your data on allfiled and shredding any unneeded personal documents and bills before disposing of them you greatly reduce the chances of becoming a victim of identity fraud.
8. 24/7 Access to your Information
As well as having access to the information you need when you need it, using allfiled means you no longer have to carry bills and other personal documents outside your home. For example, you can easily call your utility company from work without having to find your last bill and risk travelling with it.
9. Anonymous Quotes
You can use the information in your files to get anonymous insurance quotes and utility comparisons. This means that, unlike other comparison sites, your personal identifiable information is not provided to third parties who could otherwise use it to send you junk mail, offers, spam emails or even sell your details to other companies. This reduces the risk of preapproved letters for credit cards or financial products with your details on them falling into the wrong hands.
10. Keep Financial Details and Admin Separate
No transactions are made within allfiled. It is for storing the information you need to manage your suppliers, like telephone and account numbers, start dates and reminders. Any purchases are made on suppliers' web sites so you will not have to store full credit card numbers, bank account details, passwords or any other sensitive data.
Top 10 tips for keeping your identity safe online and offline
Offline
- Always be aware of where important documents such as your passport and driving licence are kept.
- Immediately report it to the relevant authorities if any post from your bank or credit card company goes missing.
- Check bank and credit card statements as soon as they arrive. If any unfamiliar transactions are listed, contact your bank immediately.
- Question bills, invoices and receipts for goods or services you haven't ordered.
- Keep personal documents in a safe place, preferably a locked drawer or cabinet and protect yourself by properly destroying unneeded confidential material in a shredder. Consider storing valuable financial documents such as share certificates with your bank.
- Get a regular copy of your personal credit file from a credit reference agency - to see if it includes any entries you do not recognise. (Click here to go to Privacy Guard)
- If you move home, get your mail redirected and then order a copy of your credit file from a credit reference agency two to three months later.
- Keep a note of the emergency numbers you should call if your credit or debit cards, passport or driving licence are stolen. allfiled already holds 1000s of these numbers so you don't need to hunt for them.
- Keep personal information secure when using credit or debit cards over the phone, on the internet or in shops.
- Never write down your passwords or PIN numbers.
Online
- Use an antivirus program to find, destroy and protect your computer from viruses. Don't forget to keep your antivirus program updated. There are many good free antivirus programs you can choose from, for example AVG Antivirus.
- Use a firewall. An antivirus program on its own won't keep your computer safe. Again there are a number of free firewalls available to download (e.g. Online Armor Personal Firewall).
- Keep your computer up to date. If you have a PC with Microsoft Windows ensure it is regularly updated. You can do this by clicking "Tools" and then "Microsoft Update" from Internet Explorer or click here. You can even set it up so it updates automatically.
- Protect your computer from spyware. Increasingly antivirus programs and firewalls cannot provide 100% protection. Download an antispyware program, like Spybot Search and Destroy that can check for problems and immunise your computer against them.
- Don't provide your personal details, such as your full name, date of birth and email address, to websites or emails you are unsure of or to any social networking sites where anyone can access the information.
- If you are making a purchase on a website you do not know, check for reviews or complaints against the site. In addition when inputting your credit card details for payment, make sure the website is secure. This can be done by checking the address bar. If it begins HTTPS you are on a secure website, if it reads just HTTP you are not.
- Ignore emails asking for personal details or passwords even if they look real (these are known as phishing emails). Banks, email providers and allfiled never ask for passwords or personal details by email. If you are unsure about the origin of an email delete it without replying to it, without clicking on any links and, in particular, without opening any attachments.
- Do not respond to, click links or open attachments within emails that claim you have won a prize in a competition you do not recall entering. These scam emails often ask victims for money to be sent to a bank account before a prize can be claimed.
- Protect your wireless network. Each wireless router is different so check your manufacturer's documentation to set up your encryption.
- Don't use public computers or unsecured wireless connections to access your online bank accounts.

How long does it take to join and get organised?
It takes less than 5 minutes to join and set up your security settings. Once logged in it’s simple to get started. A wizard guides you by setting up the most important files, reminders and suppliers in your life. Thousands of suppliers (like Councils, utility companies and many more) are already in the system with addresses and contact details so you can add them with just a click.
Adding new files is simple, just select the type of file to set up, assign it to a person, property or vehicle and start adding important details. You decide how much to store in each file. allfiled lets you know what information is still required to get a comparison quote 30 days before your renewal date.
You don't need to do it all at once, you can be spread it over a period of weeks, months or years, depending on the time you have available. There's even a "Missing Info" service that lists all the information missing from your files that you might find important so you can add them in one go.
What is allfiled supplier lookup?
Thousands of the suppliers and governmental organisations are saved in allfiled, ready for you to add with just a click. Is it worth investing the time to fill in the files?
Datamonitor research has identified every household in the UK unnecessarily overpays suppliers, insurers, utility companies and financial product providers over £2,650 per year because of the complexity of administration, apathy and lack of time. allfiled is designed to automate the legwork required to constantly compare like-for-like deals when policies are due for renewal or need a review.
Having your family’s administration organised will save many hours every year hunting for policy and telephone numbers, renewal dates and product information. The reminder function will also ensure nothing important, such as a passport renewal or MOT, is ever forgotten again.
allfiled also allows you to access all your important information wherever you have access to the internet, even from your mobile. This means that you can get to your admin when you need it: in an emergency, at work, while commuting or even on holiday.
Do I have to give my credit card details to sign up for the free trial?
Free means free at allfiled. We want you to try allfiled with no strings attached, so we won’t ask you for your credit card or bank account details. We believe anyone who has household, vehicle or family paperwork will find the service invaluable.
Who sees my personal details?
Only you can see your personal details. If you request an automatic comparison quote we send your information anonymously (so no contact details, like telephone number or email address, are sent) which means suppliers cannot contact you without your express permission. When you have reviewed the quotes, you can decide whether to allow the supplier to contact you.
How do I cancel my allfiled account?
You can cancel allfiled at any time. To cancel, just go to your account page within allfiled and click the "Security" tab. Then all you need to do is confirm that you want to delete all your files and cancel your account. Your files will be deleted from the system and no further communication will be made to you by allfiled.
I own several properties, how can allfiled help me?
You can add as many properties, people and vehicles, as you like. allfiled is the perfect way to manage all the administration associated with owning several properties.
You can keep track of your insurance policies, smoke detector checks, current tenants and much more, quickly and easily.
Perhaps the most useful function you will find is the home insurance automatic quote which tells you if you can save money on insurance for each property. You won’t need to keep providing the same details again and again to insurers, all the information will be in your files.
Can I add information to a file that doesn’t have a specific field for it?
Yes. Every file has an ‘Add a note’ function so you can add any additional information you want to.
How complicated is it to use allfiled?
Not at all, allfiled is very easy to pick up and use. As it is web based, if you use the internet you can use allfiled.
You're even guided the first time you enter allfiled so that you can easily set up your most important files, reminders and supplier details in just 5 minutes.
Is there any help?
allfiled has been designed with ease of use in mind and has extensive help associated with every field you may be unsure about.
If you are still having trouble, then you can send us a message using the ‘Feedback’ function.
Will allfiled try to sell me anything?
allfiled is free of banner advertising but does have links to useful sites (such as the DVLA) or to offers we believe you might be interested in.
The offers presented will be relevant to your current allfiled activity. You can also choose to be sent car and home insurance quotes when your current policy is up for renewal. This is done without passing your contact details on to the supplier, so you will never be contacted directly by an insurer until you decide to take out a policy with that insurer.
How do I print a file?
You can easily look at all your information wherever you have internet access. But if you would like to print a file, however, you can do so by following the steps below.
To print the details of a file you can either use the print function on your web browser (in Internet Explorer and Mozilla Firefox click ‘File’ then ‘Print’, or you can use a shortcut by pressing and holding the control button on your keyboard and pressing P).
Alternatively you can simply select the area of the file you want to print by holding down the left mouse button, then right click and click copy. You can then paste this into any word processing software by clicking the right mouse button in a blank document and clicking paste.
The format of the file may change to varying degrees, depending on the word processor package you are using.
How often will allfiled contact me?
allfiled only contacts you when you have set a reminder for one of your files, if you have requested an automatic quote for an existing policy, if we have made important changes to the service or if your membership needs to be renewed.
Reminders are set automatically when a date is added to a file. You can change the timings for these reminders or even turn them off if you want to. For example when you add your passport expiry you will automatically be reminded 7 months before the expiry date. This would give you enough time to renew without getting a nasty surprise when you're about to travel abroad but you are able to change this to be reminded a year before, if you like.
Reminders will be sent either by email or by SMS, and useful information (like contact telephone numbers) are sent with the reminder. To set up SMS reminders to your mobile phone you will need to accept the terms and conditions and provide a mobile phone number. Each text reminder costs just 25p and you can choose ones you don't want sent by SMS to be sent by email only.
allfiled is about reducing administration so we do not email or contact you if it is unnecessary. You may however be contacted if you have not logged into the system for several weeks, or if a major new feature has been added. This is done to ensure that you still use the service. If you have not logged in for 6 months your account will be suspended and after another 6 months your details will be deleted for privacy reasons. We also do not allow unsolicited sales or marketing communications from 3rd parties, insurers or product providers and will never sell your personal details to 3rd parties.
Why should I give allfiled to my friends?
allfiled is useful to everyone and there is no limit to how many people can register for the free trial. If you want your friends and colleagues to experience the service please refer allfiled to them. There is a handy ‘Recommend a friend’ function that can help you with this in the main site.
What is SSL?
Secure Sockets Layer (SSL) is a cryptographic protocol that provides secure communications on the Internet for such things as web browsing, e-mail, Internet faxing, instant messaging and other data transfers.
I’ve forgotten my PIN or password, what should I do?
If you forget your PIN or password go to allfiled’s secure login page here and click Forgotten your login details?. You will be asked for your other login details such as your email and your security questions. Just fill in these details and a link, which will reset your password and PIN, will be sent to your registered email address.
I signed up to allfiled but am not receiving reminders, what should I do?
When you first sign up to allfiled you are sent an "activation link" to your email address. You will need to click this link to activate your email address. This will allow allfiled to send you reminders with useful information in them, or even deliver the email reminder at all. Please check your email and your email junk mail folder (in case it has mistakenly been deemed spam), find the link and click it. Please also add reminder@allfiled.com as a contact within your email service.
If you have checked your email inbox and junk mail folder and cannot find the activation link then log in to your allfiled account and click the link at the top of the page called "Click here to resend activation email", please allow 24 hours for your new activation link to arrive although it should arrive within 5 minutes. If this link is not apparent (it will be in a highly visible orange banner if your account has not been activated) or if you have still not received an email after 24 hours please call 0800 756 6484 to speak to an advisor.
